If it is a planned downtime, an email will be sent to all users to alert and prepare staff. This email will be sent a week in advance, as well as the day before.
If it is an unplanned downtime, there may not be time to alert or prepare users.
When iPro Anesthesia is down, revert to paper documentation (anesthetic record, PACU order) and scan documentation into Sovera.
If a case has already been going in iPro and will not finish before the downtime, you will not lose that information when downtime occurs.
When iPro Anesthesia is back up, return to documenting in iPro Anesthesia. It is at the provider’s discretion to determine whether or not it is feasible to retro-actively enter the data into iPro Anesthesia. If the data is NOT retro-actively entered into iPro Anesthesia, the paper documentation (utilized during the course of the downtime) will serve as the permanent record
If iPro comes back up during the case, and the data is NOT retro-actively entered into iPro Anesthesia, it is recommended that the provider leave a note in iPro Anesthesia indicating the period (date/time) when the paper documentation serves as the permanent record. There is actually an option listed under the event notes section in the chart tab to indicate paper charting.
If you have been documenting in iPro and switch to paper and choose to continue with paper, remember to go back to the iPro record and finalize it when your case is done to ensure that information gets sent to health records as well.
